Group Tours F.A.Q.

1) How do I get a group reservation?

All group reservations are managed by way of a contract issued from our sales office.  A contract will mainly have contact information, but most importantly, it will contain your day and time of arrival.  Once you sign it and return it to our Group Sales Office, that’s our cue to make your reservation official and enter it into the system.  This also keeps us from overbooking any particular time slot.  We will send you a confirmation after we receive your signed contract.

2) How far in advance do I need to make reservations?

This is not an easy question to answer.  Some bookings come in over a year in advance and other times, just a few weeks before the tour date.  The best thing for you to do is call the Group Sales Office at 615-356-0501 ext. 135 and see what is available.

 3) Is there a tour minimum?

The minimum for a Regular Group Tour is 15 and the minimum for a Lunch Tour is 20.  Once you meet those minimums, we will comp your group leader and bus driver.

 4) How much time should I allow for my group visit?

We recommend the following for groups of 100 or less:

Regular Group Tour – 2 hours
Lunch Tour – 3 hours
Culinary Tour – 3 hours
Culinary tour with Lunch – 3 ½ hours
Lemonade Tours – 2 ½ hours
Wassail Tour – 2 ½ hours

For groups over 100, some additional time would be needed depending on the size of your group. However, we have easily managed groups of 200 and 300. Just call the Group Sales Office at 615-356-0501 ext. 135.

5) Are there any deadlines I need to know about?

Once a contract has been issued, for a Regular Group Tour, we require that your final count be turned in three business days before you arrive and you are welcome to pay upon arrival.

If your tour involves food, we require a 50% deposit thirty days before you arrive, your final count three business days before you arrive, and your balance will be due upon arrival.

If you need a Lunch Tour reservation less than 30 days out, just call the Group Sales Office at 615-356-0501 ext. 135.  We will gladly work with you to accommodate a last minute request.

6) Can I pay in advance for my group reservation?

Absolutely!  We accept VISA, MasterCard, and Discover by phone.  We will need the credit card number, the date of expiration, the 3-digit code from the back of the card, and the name on the card.

7) Is a gratuity included in the price?

No – we leave that to your discretion.

8) Can I get some brochures so my people will know something about Belle Meade Plantation before they arrive?
